These vendors build the software that generates, deploys and updates the signature block that appears at the bottom of every email an employee sends. In practice that means a central console where someone in IT or marketing designs one or more signature templates, pulls in fields from Active Directory or Google Workspace (name, title, phone, office), and pushes the result out to every mailbox in Outlook, Office 365, Gmail or Exchange — without asking each person to paste in HTML or drag a logo into their settings. Many also handle rotating banners for campaigns or events, legal disclaimers that have to appear on outbound mail, and reporting on how often a signature banner gets clicked.

The usual trigger is that signatures have gone feral: everyone built their own in Outlook years ago, so fonts, logos and job titles are all different, a rebrand or office move means chasing fifty people individually, and nobody can add a legal disclaimer or a campaign banner across the whole company without emailing round instructions that half the staff ignore. Sometimes it's a compliance push — a disclaimer has to go on every external email and someone needs proof it actually does. Sometimes it's marketing wanting the huge, free, already-engaged audience of outbound email to promote a webinar or case study, and being unable to do that manually across hundreds of mailboxes.

The products split mainly on where the signature lives and how it's applied. Server-side and cloud tools (working through Exchange, Microsoft 365 or Google Workspace APIs) enforce a consistent signature centrally regardless of what device or client someone sends from — stronger for compliance and larger, mixed-device workforces. Client-side or add-in tools install into each user's Outlook or Gmail and are often quicker to set up for smaller teams, but weaker at guaranteeing consistency on mobile or webmail. Beyond that, compare them on how granular the templates and permissions are (can marketing swap a banner without touching legal text), how good the analytics on signature banner clicks actually are, how well they integrate with your directory and CRM, and how they price — per user per month scales awkwardly once you're past a few hundred seats, so check that against what you'd pay someone to manage it by hand.
